Corporate Assistant (Junior Corp Admin)

Responsibilities:

  • Effectively manage the day-to-day registered office activities of a dedicated portfolio of approximately 100-200 client entities under the guidance and direction of the Senior Administrator and/or Manager
  • Assist with processing of incorporations, registrations, and transfers-in matters 
  • Review and completion of Know Your Client procedures including regular periodic reviews of Client Due Diligence documents provided, completion of entity verification forms and supporting documentation as matter manager under the guidance and direction of direct supervisor
  • Ensure client expectations are properly managed and valuable relationships are nurtured 
  • Physical and electronic filing of corporate documents
  • Assist with sorting and filing of mail 
  • Assist with conducting court searches, tracking revenue and posting related costs accurately and in a timely manner 
  • Provide on-going administration support to the team as required for the administration of a diverse portfolio and ensure that client relationships and transactions are conducted effectively and to a high standard
  • Assist with the effective administration of workload to include timely and accurate processing of work, effective prioritisation, meeting transactional, statutory and internal procedural deadlines and managing WIP and debt collection

Requirements:

  • A strong academic background with either a relevant professional qualification (such as STEP or ICSA at foundation level or higher) or working towards such relevant professional qualification will be an advantage
  • At least two years of corporate administration experience would be ideal
  • A basic knowledge of Viewpoint, CORIS, CAPS, REEFS and general client database systems will be an advantage. Good working knowledge of Microsoft desktop software
  • Must be able to demonstrate initiative, be proactive, accurate and well-organised
  • Excellent communication and interpersonal skills are essential, together with the ability to build relationships, working as part of a team to achieve a common goal and be self-motivated and career driven
