Receptionist/Facilities Assistant

$40k - $55k USD + Benefits, Package and Discretionary Bonus
About the role
- Greet reception visitors, answer and direct incoming telephone calls
- Ensure the arrival and departure of visitors are tracked and recorded appropriately
- Record all by-hand deliveries
- Ensure the reception area is kept tidy and standards of professionalism within the area are maintained
- Prepare meeting rooms with refreshments when requested and tidy rooms on completion of meetings
- Assist with event set-up and coordination
- Complete ad hoc administration duties as required, i.e. photocopying, scanning, incoming/outgoing mail/couriers
- Provide holiday/other absence cover for the Facilities Assistants within the team
- Liaise with external contractors and vendors as necessary
- Support the Facilities team with office and local deliveries when required
- Ensure various supplies are well stocked, re-ordering where necessary, within internal guidelines
- Assist with the processing of invoices
- Act as Fire Safety Warden
- Assist with hurricane preparedness planning
- Some lifting and physical transportation of documents may be required (eg archive boxes, court bundles etc.)
- Any other ad hoc duties as required
About you – essential requirements
- Ability to preserve a high degree of confidentiality
- Good organisational and communication skills, both verbal and written
- Ability to work under pressure, often within tight deadlines
- Excellent attention to detail
- Calm, common sense approach
- IT literate – competent with all Microsoft packages
- Professional, approachable and ability to successfully work as part of a team
- A full, clean driving license is essential
- Pro-active and service orientated approach
