Responsibilities:
 

  • Manage reception, both on the telephone and in person, assisting the public and, as instructed, advise them as to the activities of the organisation.
  • Be responsible for daily facility opening and closing procedures.
  • Operate office equipment, such as personal computers, scanners, photocopiers and facsimile machines; supporting and solving any simple IT issues.
  • Maintain a well-organized office environment by reordering administrative supplies in a timely fashion.
  • Put in place office processes and procedures and ensure these are adhered to by the wider team.
  • Review and understand all laws which the organisation must adhere to, ensuring all policies and procedures are compliant.
  • Support the hurricane planning activities, including gathering contact information on an annual basis.
  • Support HR administration as required by collaborating with external HR Consultants, ensuring best practices are followed, including with on-site onboarding requirements.
  • Provide general accounts support, including preparing and banking deposits, reconciling credit card and petty cash, mailing and filing payments.
  • Coordinate third party contractors to support administrative and operations needs.
  • Work to ensure that financial processes are followed consistently and completely to support weekly accounting procedures and the annual audit process.
  • Support management with Board meetings as required such as taking & preparing Board meeting minutes.
  • Contribute to the development of quarterly and annual reporting needs.
  • Checking post box and undertaking bank deposits on a weekly basis.
  • Additional duties as required.

 
 
Requirements:
 

  • Bachelor’s Degree is preferable but not essential
  • 3+ years office experience in a similar role
  • Genuine desire to work in the arts and cultural development industry
  • Highly organised, detail oriented and able to work well under pressure
  • Articulate, with strong communications skills
  • Experience with office administrative and end-of-day procedures, cash reconciliations, with the ability to calculate accurate figures
  • Computer literate (proficient in MS Office and Adobe Illustrator / Photoshop, Quickbooks an advantage)
  • Be able to interact with people both within and outside of the organisation in a professional and courteous manner
  • Valid Cayman Islands driver’s licence and own transportation.
