Responsibilities

  • Provide high-level executive and legal secretarial support to senior legal professionals, ensuring efficient management of daily activities and client matters.
  • Manage complex diaries, meetings, travel arrangements, and resource coordination.
  • Prepare, draft, proofread, and format legal documents, correspondence, presentations, reports, and other business materials.
  • Support regulatory and compliance processes, including filings, matter openings, client onboarding, and record maintenance.
  • Assist with matters relating to investment vehicles, regulated entities, court filings, and corporate governance requirements.
  • Maintain accurate file management systems, document records, and electronic filing processes.
  • Process billing, invoices, expenses, time recording, and related administrative functions.
  • Conduct research, competitor analysis, and market intelligence to support business development initiatives.
  • Maintain CRM systems, ensuring client information and activity records are accurate and up to date.
  • Liaise professionally with clients, regulators, service providers, government agencies, and internal stakeholders.
  • Support internal projects, operational initiatives, and process improvement activities across multiple business areas.
  • Provide guidance and support to junior administrative staff and promote best practices across the team.

Requirements

  • Minimum of 5 years’ experience in a senior executive assistant, legal secretary, or similar professional support role within a law firm or professional services environment.
  • Experience supporting senior legal professionals and managing complex administrative responsibilities.
  • Knowledge of regulatory, compliance, corporate governance, or fund administration processes is advantageous.
  • Familiarity with Cayman regulatory requirements, including AML/CFT, FATCA/CRS, and economic substance regulations, is beneficial.
  • Excellent organisational skills with the ability to manage multiple priorities and meet tight deadlines.
  • Strong written and verbal communication skills with a professional and client-focused approach.
  • Proven ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and database systems.
  • Strong problem-solving skills with the ability to work independently and take initiative.
  • Excellent interpersonal skills and the ability to build effective relationships across all levels of an organization.
  • High attention to detail and commitment to producing accurate, high-quality work.
