Executive Assistant – Operations

Responsibilities

  • Provide high-level operational and administrative support to a UHNW Principal across personal, family, business, and lifestyle matters.
  • Manage complex calendars, international travel, itineraries, events, and day-to-day logistics across multiple jurisdictions.
  • Coordinate with banks, attorneys, accountants, trustees, government agencies, and other professional advisers while maintaining strict confidentiality.
  • Oversee household, property, vehicle, and lifestyle operations, ensuring services, maintenance, renewals, and compliance requirements are managed efficiently.
  • Support budgeting, expense tracking, financial administration, and account management, ensuring accurate reporting and record keeping.
  • Coordinate private aviation, commercial travel, concierge services, and contingency planning for international travel.
  • Monitor key deadlines, regulatory obligations, licences, renewals, and corporate administrative requirements.
  • Act as a trusted liaison between the Principal, family members, service providers, and external stakeholders, ensuring seamless communication and execution.
  • Identify opportunities to improve processes, anticipate needs, and independently resolve issues with minimal supervision.
  • Maintain the highest standards of discretion, professionalism, and confidentiality across all personal, financial, and operational matters.

Requirements

  • 5–10 years’ experience supporting UHNW individuals within a private family office or similar executive support environment.
  • Strong background in financial administration, expense management, budgeting, and account reconciliation.
  • Proven experience managing complex international travel, including private aviation and multi-jurisdiction itineraries.
  • Experience coordinating household, property, vehicle, and lifestyle operations, including working with service providers and government agencies.
  • Strong knowledge of Microsoft Office, particularly Excel; experience with Apple products is advantageous.
  • Excellent organisational, communication, and relationship management skills with exceptional attention to detail.
  • Ability to manage multiple priorities, exercise sound judgment, and work independently in a fast-paced environment.
  • Demonstrated integrity, discretion, professionalism, and commitment to maintaining confidentiality.
  • Valid driver’s licence with a clean driving record.
  • Stable employment history with a proven track record of long-term commitment and reliability.
